Event Manager

Job Description:

Event Managers (EM) assigned to the Government and Community Services Division (GCSD) will be responsible for all aspects of their project assignment. The areas of responsibility include: staffing, administrative requirements and reports, clinical supplies and equipment, operation of mobile dental practice (MDP)/vehicle, project coordination with clients, quality assurance of services, team meetings and after action reports. EM will be available one day prior to each project event.


Qualifications:

  • Ability to learn dental software such as Denclass, Dentrix, Apteryx, Dimaxis Pro, Vixwin Pro and others
  • Computer literate; knowledgeable in Word, Excel. Networking experience a plus
  • Supervisory and management experience
  • College Degree preferred.
  • Ability to communicate effectively with subordinates, peers, and superiors, including Military Officers
  • Ability to occasionally and safely lift items up to 50 pounds maximum
  • Must have a current driver's license
  • Travel approximately 75% of the time

Staffing:

  • EM will ensure that all team members are contacted initially to confirm their participation as well as one day prior to the event
  • EM will confirm that each member receives their travel information and project information
  • EM will arrange team meeting each morning and at the end of the day of the project
  • Ensure all Onsite staff are trained in appropriate work area ( portable dental equipment or MDP)
  • EM will assign Onsite dental team to specific work areas prior to the event

Administrative Requirements:

EM will contact the corporate office regarding administrative requirements and military/community point of contact (POC) information.

  • Understands all the services that will be delivered during the project
  • Ensure that all documentation templates and reporting forms are loaded in the PM laptop
  • Trained and familiar with Denclass, Dentrix, Apteryx, Dimaxis Pro, Vixwin Pro software, as well as other dental software programs.
  • Ability to instruct others in the basic operation dental software and equipment.
  • Provide POC with a written status report of exams/treatments at the end of each day.
  • Provide copies of x-rays and rosters as necessary.

Administrative Requirements Continued:

  • Provide final reports of project to on-site POC and corporate office no later than one day post-event
  • Provide corporate office administrative supervisor with any changes regarding the project

Clinical Supplies and Equipment:

  • Ensures the shipment of supplies and equipment arrive at project site
  • Ensures enough supplies are on hand to provide services
  • Ensures all dental equipment is fully operational.
  • Checks all laptops, sensors, printer and copier are in working order.
  • Responsible for sending equipment and supplies back to the corporate office at the end of the project

Mobile Dental Practice:

  • Trained to troubleshoot MDP operations
  • Responsible for completing MDP checklist at the beginning and end of each project
  • At the end of each project, ensure all equipment is properly tied down for transport

Coordination with Clients:

  • Makes contact with military/community POC as soon as you receive assignment
  • Makes contact with military/community POC day prior to the event
  • Coordinates with POC on the exact location where the services will be delivered (armory or parking area for MDP)
  • Ensure the number of Soldiers/Participants is still current and the type of services that will be rendered
  • Identify any changes in the project with the POC
  • Meet with POC at least 3 times each day and provide a status report of the project (at the beginning of each day, mid day hour and at the end of each day)
  • Assist POC with the coordination of follow up dental appointments if necessary

Quality Assurance of Services:

  • Ensure all 603's and Health History forms are completed properly.
  • Ensure x-rays are of a high quality and acceptable to others.
  • Ensure all x-rays are downloaded and cross-checked against the rosters.
  • Ensure all Denclass information is packaged and shipped within one business day to Denclass Data Entry.

After Action Reports (AAR):

  • Conducts an after action meeting with all Onsite team members at the end of the project
  • Facilitates an after action review of the entire project
  • Provides a written after action report to corporate office the day after the event
  • The AAR will include: positive items, negative items and any recommended changes to improve services
